How to write an RFQ that gets good quotes

A Request for Quotation is how a buyer asks suppliers to price a specific requirement. A clear RFQ gets you faster, more comparable quotes — and fewer back-and-forth calls. Here's what a strong one includes:

State the item clearly

Name exactly what you need and the category. Vague requirements get vague (and slow) quotes.

Give quantity and specifications

Quantity, unit, and every spec that matters — dimensions, grade, standard, tolerances. Precise specs let suppliers price accurately the first time.

Add delivery, timeline and budget

Where it ships, when you need it, and a target budget if you have one. This filters out suppliers who can't meet your window.

Ask for the right things back

Unit price and total, lead time, MOQ, payment terms, and GST — so quotes are comparable side by side.
